Email to Faculty And Staff

A "form" letter department administrators can send to their faculty and staff about the upcoming changes.

Dear [Department Name] Faculty and Staff,

As you may have seen in an email over the summer, ITDS is preparing for some changes on the desktop. We are rolling out several new and updated services. Part of these updates includes migrating from Novell Netware to Active Directory as our primary network platform.

Here are the changes that have already been completed:

And there are a few more that have yet to be completed:

  • Network space for employees
  • Web space for all Employees
  • Security updates locally provided
  • PC login will now be same as email login
  • Backup software upgrades allow for longer retention of data

What does this mean for you?

An ITDS staff member or a technology person from your department will be making a visit to your office to “migrate” your computer into the new Active Directory environment. This migration takes anywhere from 30-45 minutes to complete and if at all possible will be scheduled so that you can be present for the process.

In the course of converting an entire department, the department data that is currently residing on your college Novell server will be copied over to a newer file server. You can find the data that was copied on your new N: drive.

Drive Mappings

The drives you see in “My Computer” will change a little. There are now six standard drive mappings that everybody at EKU will get.

  • N:\ Drive (All departmental data)
    • Contains files for each College and Department
    • Contains files and folders for all EKU Administrative areas. An administrative area is any area not related to particular college. This includes Financial Aid, Human Resources, Records, ITDS . . .
    • Will be mapped as the N: drive in "My Computer"
  • Q:\ Drive (functions as before)
    • Contains files and folders that are potentially needed for all Faculty and Staff at EKU. This currently includes various software packages, University Forms, and technical documents.
    • Will be mapped as the Q: drive in "My Computer"
  • W:\ Drive ( Faculty Web Drive)
    • All personal faculty and staff web pages will be kept in this central area. For John Smith to edit his web pages, he can browse to his w:\ drive. To view his webpage on the internet, he would browse to http://people.eku.edu/smithj.
    • Will be mapped as the W: drive in "My Computer"
  • P:\ Drive (Projects)
    • Any University wide projects would be housed here.
    • Will be mapped as the P:\ drive in "My Computer"
  • U:\ Drive (User storage space)
    • Employee personal files may be stored here.
    • Will be mapped as the U: drive in "My Computer"
  • L:\ Drive (Student lab accessible drive)
    • Faculty store documents/folders that students can see in labs.
    • Mapped as L: in “My Computer”

Personal Web Pages

Your personal web space will also change. The new URL for your personal web page will be http://people.eku.edu/email_user_name where the email username is your email account.

When we visit your PC, your content from your existing web page will be copied over to the new area. During that process, some links in your webpage may be broken, so bear with us as we help you repair those. Since people advertise their web locations on business cards, email, web addresses and bookmarks it is necessary to ensure that these addresses work. Any requests to the old webpage will be directed to the new location.
